Auditing Field Trips
Privacy Policy
Effective 20 October 2026
Auditing Field Trips (the “App”) is a virtual reality learning experience for Meta Quest, developed by Curtin University in collaboration with Rainty Square IT Solutions (“we”, “us”). Students use it to take a guided field trip through a virtual warehouse and practise auditing. This policy explains what information the App collects, why, and the choices you have.
1. Information we collect
We collect only what is needed to run the field trip and to show your educators how it went:
- Name you enter. The name or nickname you type when you start a field trip, so your educator can recognise your results. You choose what to enter.
- Invitation code. The session code your educator gave you, which links your field trip to their class or session.
- Activity and results. When each stage of the field trip starts and ends, your answers to the in-app questions (including incorrect attempts), scores, time taken, whether the trip was completed, and a time-stamped log of in-app actions.
- Device information. Headset model, operating system, platform and App version, used to diagnose problems.
- Anonymous identifier. A random account identifier created automatically by Firebase Authentication. It is not linked to your Meta account, email address or phone number.
The App does not collect your Meta account details, email address, contacts, precise location, photos, camera or passthrough images, microphone or voice recordings, payment information, or your movement and tracking data. It contains no advertising and no third-party analytics or tracking.
2. How we use it
- To run the field trip and check that your invitation code is valid and open.
- To let authorised Curtin University educators and staff see participation, progress and results.
- To improve the learning experience and the App, using results in summary form.
- To keep the App working, secure and free of errors.
We do not sell your information, use it for advertising, or use it to make automated decisions about you.
3. Where it is stored and who can see it
Information is stored in Google Firebase (Cloud Firestore and Firebase Authentication), operated by Google LLC as our service provider. Google’s servers may be located outside Australia and Malaysia. Data is encrypted in transit and protected by access rules.
Only authorised Curtin University staff, and Rainty Square IT Solutions where needed to provide technical support, can access it through a password-protected administration portal, where access is logged. We do not share your information with anyone else unless required by law.
4. How long we keep it
We keep field trip records for as long as they are needed for teaching, assessment and improving the App, in line with Curtin University’s record-keeping obligations, and then delete them. You can ask us to delete your records sooner (see section 6).
5. Children
The App is intended for university students and other participants invited by their educators. It is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has used the App, contact us and we will delete their records.
6. Your choices and rights
- You can use a nickname rather than your full name, if your educator allows it.
- You can stop a field trip at any time by leaving the App.
- You can ask to see, correct or delete your information. Tell us the invitation code, the name you entered and the approximate date of your field trip so we can find your records.
We handle personal information in line with applicable privacy laws, including the Australian Privacy Act 1988 and Malaysia’s Personal Data Protection Act 2010. If you are unhappy with how we handled your request, you can also contact Curtin University’s privacy office or the privacy regulator in your country.
7. Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with its effective date at the top.
8. Contact and support
